This field contains the information required to locate an item. The information may simply identify the institution holding the item or the organization through which it may be obtained, or contain detailed information about the specific location of an item in a collection.
This CERL field is a derived subset of USMARC 852, with indicators set to two blanks and subfields $e, f, g, n, q, s, 2, 3 and 8 omitted. The annotations and examples have been adapted or (re)written for the CERL context.
The field is mandatory, whether or not one or more other fields containing subfield $5 with institution and shelfmark information are also present in the record.
The minimum requirement is subfield $a for the holding institution or the organization through which the item may be obtained. Many members will prefer not to give specific shelfmarks, particularly if the items are liable to be reclassified or moved for other reasons (temporary exhibition, rebinding, etc.).
A fuller field should contain at least the two subfields $a (institution, including department, sub-collection, etc.) and $j (shelving control number, however composed) (EX 1). If the holdings information in the source format is analysed in greater detail in specific subfields it should be converted, if possible, to the equivalent subfields in 899 (EX 2, 3).
Note that neither USMARC 852 nor CERL 899 is structured to record the detailed holdings of serials. Where necessary, they are supposed to be recorded in the public note field $z.

$a Location (M;NR)
Format: Country code (ISO 3166 alpha-2)\Institution code
If the file containing the record is a union list, the Institution code may differ from that of the cataloguing institution recorded in field 001.
If the source format does not assign individual subfields to the institution, collection, etc., use $a in place of $a-$c inclusive and separate the elements by a backslash ( \ ).
$b Sublocation or collection (O;R)
The name of the sublocation or collection, either in full or a standard abbreviation or code used for it by the institution.
Repeatable for sub-sublocation, etc.
$c Shelving location (O;R)
This subfield contains a description of the shelving location of the item within the collection, either in full or using standard abbreviations. (Such locations when appearing as prefixes or suffixes to the shelfmark are given in $k or $m respectively, either in addition to or instead of $c).
Examples: Oversize stacks, Security vault.
Note! The “Shelving location” is NOT the shelfmark or call number itself, which must be entered in subfield $j (or $h + $i).
$h Classification part (O;R)
Used when the Call number = Class number + Item number. Note that the “classification” may be a broad categorization such as “PER” if all periodicals are shelved together.
$i Item part (O;NR)
Alphabetising mark, date, etc. Used when the Call number = Class number + Item number. Subfield $h must precede the first occurrence of $i.
$j Shelving control number (O;NR)
Used when the Call number is not split as $h, $i. Includes fixed-location shelfmarks.
If the source format does not assign individual subfields to the various parts of the shelfmark/call number, use $j in place of $h-$t inclusive.
$l Shelving form of title (O;NR)
This subfield contains the title (usually an abbreviated form) which is used to shelve the item.
$m Call number suffix (O;NR)
Distinguish use of data in $m (“Ref”, “Vault” etc.) from that in $c.
$p Piece designation (O;NR)
Individual piece number, for example, Bar code or Accession number.
$t Copy number (O;NR)
Number or range of numbers for copies that have the same location and call number and are not otherwise distinguished from each other.
Note! NOT necessarily equal to the number of copies held.
If copies have distinct call numbers, whether or not they are held in different sublocations in the institution, they should be recorded in repeated 899 fields.
$x Nonpublic note (O;R)
For example, Accession number when $p = different Bar code number.
[This field, if used at all, would probably not be included in records contributed to the CERL database]
$z Public note (O;R)
For example: “Public access to this item normally denied : facsimile copy available”.
This subfield is also used to record detailed holdings information for serials, for example: “Bestand: 26.1764-28.1766; 30.1768-34.1772”.
$5 Institution to which the Field Applies (O;NR)
Subfield $5 is used in field 899 if it has been applied in other fields of the records containing codes other than those used in 899 $a, such as the codes from ISO 15511 : 2003– Information and documentation - International Standard Identifier for Libraries
and Related Organizations (ISIL) which can be more precise than the codes in 899 $a (e.g. coding a precise sublocation). In this case the subfields $5 link all fields pertaining to one instiution / copy including the 899 field (EX 4).
